HDRT Booking & Cancellation Policy

A 50% deposit is required to confirm your booking, and the remaining balance must be paid before the event date.

Cancellations must be submitted in writing by replying to your booking-confirmation email.

For cancellations received at least 14 calendar days before the event, venue-hire payments will be refunded in full.

For cancellations received 7–13 calendar days before the event, a reasonable cancellation charge of up to 25% of the total venue-hire fee may apply.

For cancellations received fewer than 7 calendar days before the event, a reasonable cancellation charge of up to 50% of the total venue-hire fee may apply.

These percentages are maximum charges, not automatic penalties, and any charge will take account of the notice provided, the nature of the booking and our reasonable ability to rebook the venue.

If the date is rebooked, the charge will be reduced to reflect the loss avoided.

Separately approved catering or additional-service costs will be assessed according to costs reasonably incurred and amounts recoverable from suppliers, without duplicating charges.

Date-change requests are subject to availability and will be assessed using the same principles.

Where the Consumer Protection Act applies, no cancellation fee will be charged if the booking cannot be honoured because of the death or hospitalisation of the person for whose benefit it was made.

If HDRT cancels the booking, all payments made to HDRT for the cancelled booking will be refunded.

Nothing in this policy limits any applicable statutory rights.
